It happens in almost every business at some point. A worker finishes their final week, turns in their desk key or laptop, and everyone wishes them well on their next chapter.

Their physical departure may be obvious, but the digital departure is where things frequently get missed. 

Someone forgets to disable an email address, revoke access to a shared cloud folder, or remove a personal phone number from multi-factor authentication settings. As a result, that worker’s access to business assets stays active longer than it should.

We call these dormant profiles "ghost accounts." To a business owner, they seem harmless because no one is actively using them. To a cybercriminal, however, an unmonitored account with a weak password is the absolute easiest path inside your company's network.

The Simple Checklist for Securing Offboarded Users

Offboarding someone does not have to be a complicated, multi-day ordeal. When a team member leaves, following a standardized process ensures nothing slips through the cracks.

  • Disable access immediately - Change the user's password and block login access across your email platform, cloud storage, and specialized line-of-business software on their last day.
  • Revoke secondary permissions - Make sure their access is removed from shared team mailboxes, group chats, and third-party vendor portals.
  • Archive data correctly - Forward their incoming emails to a supervisor so critical client communications are not lost, and transfer ownership of their cloud documents to a permanent team member.
  • Reclaim physical devices - Collect all company-owned hardware, including laptops, tablets, and security keys, and wipe company data from personal smartphones used for work.
